Ctrl +H to record history
Don’t forget to record history in the database each time you talk with a customer.  If you haven’t scheduled the call, press [Ctrl+H] to record your notes on the contact record.
 
1. Lookup the contact.
2. Press [Ctrl+H] (or right-click anywhere) and select Record History....
3. Fill in or select Regarding.
4. Change the Activity type if necessary (from Call to Meeting or To-do).
5. Fill in any Details about the contact.
6. Click the appropriate Result:.
7. OK

Printing an Envelope
  1. Lookup the contact(s)
  2. File, Print...
  3. Press the letter "e" on the keyboard (the Printout type should change to Envelopes)
  4. Select the envelope size (10 is the most common)
  5. OK
  6. Select either Current contact or Current lookup
  7. If you would like to preview before printing, change the Send output to from Printer to Preview
  8. OK
  9. Print
  10. Select a different Printer if necessary and click OK
  11. Select the Envelope Feed options for your printer and click OK

Selecting multiple items from drop-down list
Sometimes making a single selection from a drop-down list just doesn’t cover everything.  Let’s say you have a field called Hobbies and your contact plays Golf and Tennis.  To select multiple items for a field with a drop-down list…

1. Move to the field and press [F2].
2. Click on the first choice, then [Ctrl+click] each additional item.
3. OK.

Duplicating a Contact
 
If you have more than one contact from a company, don't retype all the information. 
  1. Display the existing contact
  2. From the menu select Contact (or right-click on a blank area of the contact layout), Duplicate Contact .
  3. Click on the Duplicate data from primary fields option.
  4. Now fill in the remaining blanks.

Side-ACT Uses

What is it?  It's a separate program from ACT!, but installs when ACT! is installed.  It's a little, quick-to-open to-do list.

Why use it?  To keep track of things that you don't want to schedule in ACT!, like dropping by the dry cleaners.  I use it to keep a list of goals/projects that I am working on.

How do I access it?  There are four ways:  (1) Click the SideACT! icon on the ACT! toolbar, (2) select Start, Programs, Symantec ACT!, SideACT! from the menu, (3) double-click the icon on the desktop (if it’s there), or (4) click the SideACT! icon in the system tray (lower right corner of the screen by the time).
 
How do I use it?  Once SideACT! is open, just type the text of the activity and press [Enter].

Customizing Contact List View

Using the Contact List view is a great way to view a lot of your information quickly.  Click on the Contact List icon in the toolbar (the second icon on the View Bar) or press [F8] .
 
Add columns to the list...
To add fields (columns), right-click anywhere in the Contact List view and select Add columns.  Click on the field you want to display in the list and click Add (or drag it to the location where you want it to display)  When you’re finished, click Close.
Remove columns from the list...
To temporarily remove a column from the list, just drag the column heading up until the mouse pointer displays as a trashcan.
Sort the list...
To sort the list differently, click on the column heading that you want to sort by (a triangle appears on the column that the list is currently sorted by.
Move to regular ACT! Contact screen...
To display a contact in the regular Contact screen, double-click the gray square to the left of the Contact’s name.

Moving from Field to Field

As you use the keyboard to enter a new contact into ACT!, by default the [Tab] key moves you from field to field and the [Enter] key jumps to important fields that have been predefined.  To reverse this and have the [Enter] key move you from field to field…

1. Select Edit, Preferences
2. Make the choice on the General tab.
3. OK
Any choices you make within Edit, Preferences only affects your PC - no one else's.

Attaching a document
 
ACT! allows you to attach any type of file to a contact record (a Word document, a PowerPoint presentation, an Excel spreadsheet, etc).
  1. Lookup the contact.
  2. Contact, Attach File... or press [Ctrl+I]
  3. Locate the file by clicking on the drop-down arrow of the Look in: area to find the folder that contains the file you want to attach.
  4. Open
  • When you attach a document to History, it appears in the History list with a special icon. 
  • If you double-click the icon in the History list, you will open the document into the software that created it (Excel, PowerPoint, Word, etc.).
  • The next time a client calls you and refers to a document you sent them, it will be no more than a couple of clicks away.

Changing Calendar Views

No matter whether you are viewing a day, a week or a month in your Calendar View, ACT! always displays a one month Mini-Calendar in the upper-right corner.  You can quickly change the calendar display from Daily to Weekly to Monthly...
  • Double-click any day to display that day in the Day calendar.
  • Double-click the weekday letters at the top of the calendar to display the current week in Week view.
  • Double-click the name of the month to display the calendar in Month view.
  • Right-click the name of the month and select another month or return to Today.
  • When you want to see a quick calendar without changing to one of the calendar views - press [F4] to display a 3 month calendar.  This works from anywhere in ACT!

Controlling How Completed Activities Display

Some people like to have To-do lists that have lines through the completed items.  Others like to have the item grayed out when completed.  Still others want a completely clean list with nothing displaying when all items have been completed.  You can control what displays on your Calendar or Task list area.

To display a completed activity in Strikeout or Grayed Mode...

  1. Edit, Preferences...
  2. Click on the Scheduling tab.
  3. In the lower-left corner, select Gray or Strikeout
To remove completed items from display...
  1. In either the Task List or one of the Calendar Views, click on the Filter button.
  2. Remove (or replace) the Check from Show cleared activities
