Link Files to ACT
(Instead of Adding Them to the \Attachments Folder)

There are potential problems with attaching documents in ACT!. When you attach a document to ACT! 2007, the original document is copied to the \Attachments folder of your database. You now have two copies in two different locations (the original file in its original location and the one you just copied to the \Attachments folder under ACT). If you open and edit the original file, the (copied) file that you attached in ACT! is not changed. If you edit the one in ACT!, the original is not changed.

To make matters worse, attaching the same file to more than one contact creates multiple copies of the file (each with their own unique name). You have also unnecessarily doubled (tripled, quadrupled, etc.) your disk usage for that file and every copy was placed in the \Attachments folder. What a mess! ACT! treats attached files in this manner for the purposes of synchronization, and in that sense it makes sense, but it obviously has its problems. Not the least of which is the time it takes to transfer these files when remote users synchronize.

Many ACT! users would rather choose which folder their files are saved to (and how many copies of them exist). You might also want to create pointers to original engineering drawings or legal documents that are maintained by other departments in folders on your network. You don’t want copies of those files…you want instant access to the originals…especially if they are frequently updated.
